The Assets Management System is a comprehensive software solution designed to help organizations track, manage, and maintain their physical assets throughout their lifecycle. This system allows you to categorize assets, record purchase information, monitor asset distribution, track defective items, and maintain detailed historical records. The system provides tools for asset creation, distribution management, defective asset handling, and complete audit trails to ensure efficient asset utilization and accountability.

How To Use The Assets Add-On ?

System Setup

Category

  • Add a new category by clicking the “Create” button on the category page. Enter the category name for asset classification.
  • The category list page displays all categories with the Category column. You can search for specific categories using the search button at the top. For each category record, use Edit to modify the category name or Delete to remove it from the system.

Asset Locations

  • Begin by clicking the “Create” button on the asset locations page to add a new location. Enter the location name and code. Select the type from the dropdown (Building, Floor, Room, Warehouse, or Site).
  • Choose the parent location if this is a sub-location. Enter the address details including city, state, country, and postal code. Add contact person information including name, phone, and email. Provide a description and set the status (Active or Inactive).
  • The asset locations list page shows all locations with columns for Name, Code, Type, Parent Location, and Status. You can search for specific locations using the search button at the top. For each location record, use View to see complete location details, Edit to modify information, or Delete to remove the location from the system.

Asset

  • Register a new asset by selecting the “Create” button on the assets page. Enter the asset name and set the purchase date and supported date using date pickers. Select the category from the dropdown (populated from the Category module) and enter the serial code. Specify the quantity and unit price—the purchase cost will automatically calculate (Quantity × Unit Price). Enter the warranty period, select the location from the dropdown, and provide a description. Upload an asset image for visual identification.
  • The assets list page presents all assets with columns for Image, Name, Category Name, Purchase Date, Serial Code, Quantity, Unit Price, Purchase Cost, and Location. You can search for specific assets using the search button at the top. For each asset record, use View to see complete asset details, Edit to modify information, or Delete to remove the asset from the system.

Asset Assignments

  • Assign an asset by clicking the “Create” button on the asset assignments page. Select the asset from the dropdown—only available assets that haven’t been assigned yet will appear (each asset can only be assigned once at a time). Choose the person to assign the asset to from the “Assign To” dropdown. Set the assigned date and expected return date using date pickers. Select the condition on assignment (Excellent, Good, Fair, or Poor) and add any relevant notes.
  • The asset assignments list page shows all assignments with columns for Asset, Assigned To, Assigned Date, Expected Return Date, Status (default is Active), and Condition. You can search for specific assignments using the search button at the top.
  • For each assignment record, use View to see complete assignment details, Edit to modify information, Delete to remove the assignment, or Return Asset to process the return. When using the Return Asset action, you can update the condition and add return notes—the status will automatically change to “Returned.” Once returned, the Return Asset and Edit buttons will no longer be displayed for that record.

Asset Maintenance

  • Schedule maintenance by selecting the “Create” button on the asset maintenance page. Select the asset from the dropdown (populated from the Assets module) and choose the maintenance type (Preventive, Corrective, or Emergency). Enter the maintenance title and provide a detailed description. Set the scheduled date and completed date using date pickers, enter the maintenance cost, and add the technician name. Select the status (Scheduled, In Progress, Completed, or Cancelled) and set the priority level (Low, Medium, High, or Critical). Add any additional notes as needed.
  • The asset maintenance list page presents all maintenance records with columns for No, Asset Name, Type, Scheduled Date, Status, Priority, and Cost. You can search for specific maintenance records using the search button at the top. For each maintenance record, use View to see complete details, Edit to modify information, or Delete to remove the record from the system.

Asset Depreciation

  • Set up depreciation tracking by clicking the “Create” button on the asset depreciation page. Select the asset from the dropdown (populated from the Assets module) and choose the depreciation method (Straight Line, Declining Balance, or Sum Of Years). Enter the useful life in years and specify the salvage value. Set the start date using the date picker and add any relevant notes.
  • The asset depreciation records page displays all entries with columns for Asset, Method, Useful Life, Salvage Value, Annual Depreciation, Accumulated, Book Value And Start Date. You can search for specific depreciation records using the search button at the top. For each record, use View to see complete details, Edit to modify information, or Delete to remove the entry from the system.
