Introduction

The Locker & Safe Deposit Add-On is a complete locker management solution designed to efficiently handle lockers, customers, memberships, bookings, payments, renewals, key access, maintenance, and system configuration from a centralized dashboard. It provides real-time insights, structured record management, automated availability handling, and financial tracking to ensure smooth operations and full visibility across all locker-related activities.

How To Use the Locker & Safe Deposit Add-On?

Locker Dashboard

  • The Locker Dashboard provides a complete overview of your locker management activities through various summary cards, charts, and widgets.
  • View the main dashboard to see important summary cards showing Total Lockers, Total Memberships, Total Customers, Total Revenue, and Expiring Soon count for quick insights into the overall state of the system.
  • Monitor the Membership & Booking Trends chart that displays the volume of memberships and bookings over time, allowing you to track growth and activity patterns across months at a glance.
  • Review the Recent Payments panel that shows the latest payment transactions, including the customer name, locker number, amount, date, and payment status for quick reference.
  • Track the Renewal Status donut chart that provides a visual breakdown of all renewal requests categorized by Pending, Approved, and Rejected statuses.
  • Monitor the Payment Status donut chart that displays the distribution of all payments across Cleared, Pending, and Cancelled statuses for a quick financial health overview.
  • A dedicated Client Dashboard is also available for customers to view their personal locker bookings, memberships, payments.

Manage Lockers

  • To create a new locker, click the “Create” button on the Manage Lockers page. In the form that opens, the Locker Number will be auto-generated by the system (e.g., #LOC00031). Select the Locker Type from the dropdown menu to categorize the locker accordingly (comes from the system setup section).
  • Choose the Locker Size using the dropdown (Small, Medium, Large, or Extra Large). Enter the Max Capacity in the provided field to define the maximum storage limit for that locker.
  • Set the pricing by entering the Price of Month and Price of Year in their respective fields. These represent the rental cost options available to customers. Select the locker’s current status using the radio buttons; mark it as Available if it is ready for assignment or Occupied if it is already in use.
  • The list page displays all registered lockers in a table with columns for Locker Number, Locker Type, Locker Size, Max Capacity, Price of Month, Price of Year, Status, and Actions.
  • Use the search bar to quickly locate a specific locker by its number or related details. Apply filters using the Locker Type dropdown, Locker Size dropdown, and Status dropdown to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • In the actions column, use View to see full locker details, Edit to update or modify locker information, and Delete to permanently remove the locker from the system.

Manage Customers

  • To register a new customer, click the “Create” button on the Manage Customers page. In the form that opens, start by selecting a User from the dropdown (only users with the Client role who are not already assigned to another Locker Customer will appear in this list).
  • Enter the full Address in the provided text area. Fill in the City, State, Country, and Zip Code fields to complete the customer’s location details. Optionally, upload an Id Proof by clicking the Browse button and selecting the appropriate file from your device.
  • The list page displays all registered customers in a table with columns for Avatar, User Name, Email, Mobile No, City, State, Country, Zip Code, and Actions.
  • Use the search bar to quickly locate a specific customer by name or other details. Apply filters using the User dropdown (Filter by User) to narrow down results. Click Apply to activate the filter or Clear to reset it. Toggle between list view and grid view using the view buttons at the top right.
  • With the help of the Actions column, use View to see full customer details, Edit to update or modify customer information, and Delete to permanently remove the customer from the system.

Manage Memberships

  • To create a new membership, click the “Create” button on the Manage Memberships page. Select a Start Date using the date picker. Enter the Membership Type in the provided field to define the plan name (e.g., Gold, Premium, Standard).
  • Choose the Duration using the radio buttons, select Monthly for a one-month plan or Yearly for an annual plan. Enter the Membership Fee in the designated field. Note that the Locker dropdown will only become available after selecting the Start Date and Duration first, as the system uses these values to determine locker availability. Once unlocked, select the desired Locker from the dropdown.
  • Select the Customer from the dropdown to assign the membership to the appropriate customer, then click Create to finalize the membership.
  • The list page displays all memberships in a table with columns for Membership ID (auto-generated by the system), Locker Number, Customer Name, Membership Type, Start Date, End Date, Duration, Membership Fee, Status, and Actions. Status will show as either Confirmed or Pending, depending on the payment state.
  • Use the search bar to quickly locate a specific membership. Apply filters using the Locker dropdown (All Lockers) and the Customer dropdown (All Customers) to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • In the Actions column, use the Payment to record a payment for a pending membership. The payment form will auto-fill the Type, Membership ID, Locker, Customer, Duration, and Amount fields. Simply select the Payment Date, choose a Bank Account from the dropdown, and optionally enter a Description before submitting.
  • Use View to see full membership details, Edit to update or modify membership information, and Delete to permanently remove the membership from the system.

Manage Bookings

  • To create a new booking, click the “Create” button on the Manage Bookings page. Select a Start Date using the date picker. Note that the Locker dropdown will only become available after selecting the Start Date first, as the system uses this value to determine locker availability. Once unlocked, select the desired Locker from the dropdown.
  • Select the Customer from the dropdown to assign the booking to the appropriate customer. Choose the Amount Type using the radio buttons; select Monthly Amount for a one-month booking or Yearly Amount for an annual booking. The Amount field will auto-populate based on the selected locker and amount type.
  • The list page displays all bookings in a table with columns for Booking ID (auto-generated by the system), Locker Number, Customer Name, Start Date, End Date, Duration, Amount, Status, and Actions. Status will show as either Confirmed or Pending, depending on the payment state.
  • Use the search bar to quickly locate a specific booking. Apply filters using the Locker dropdown (All Lockers) and the Customer dropdown (All Customers) to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • In the Actions column, use the Payment to record a payment for a pending booking. The payment form will auto-fill the Type, Booking ID, Customer, Locker, Duration, and Amount fields. Manage Payments

  • The Manage Payments page provides a centralized view of all payments generated from both Memberships and Bookings. No manual creation is required; payments are automatically recorded when initiated through the Payment action in the Manage Memberships or Manage Bookings pages.
  • The list page displays all payments in a table with columns for Type (Membership or Booking), Reference ID, Locker Number, Customer Name, Duration, Amount, Payment Date, Payment Status, and Actions. Payment Status will show as Cleared, Pending, or Cancelled.
  • Use the search bar to quickly locate a specific payment. Apply filters using the Type dropdown (All Types, Membership, or Booking), Payment Status dropdown (All Status, Pending, Cleared, or Cancelled), Locker dropdown (All Lockers), Customer dropdown (All Customers), and Duration dropdown (All Durations, Monthly, or Yearly) to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • With the help of the Actions column, use the Mark as Cleared to confirm and clear a pending payment once it has been verified. Use the Cancel Payment to cancel a pending payment if it is no longer valid. Use View to see the full payment details.
  • Use Delete to permanently remove the payment record from the system. Note that Cleared and Cancelled payments only show the View option, as they can no longer be modified.

Locker Keys Access

  • To create a new locker key access record, click the “Create” button on the Manage Locker Keys Access page. In the form that opens, select a Locker from the dropdown (comes from the locker section). The Issue Date will be automatically set to the current date.
  • Note that the Customer dropdown will only become available after selecting a Locker first, as the system uses this to identify the customer assigned to that locker. Enter the Key Type in the provided field to specify the type of key being issued (e.g., Digital, Physical, Master).
  • Set the current Status using the radio buttons: Active if the key is in use, Lost if the key has been misplaced, Returned if the key has been handed back, or Damaged if the key is no longer functional.
  • The list page displays all locker key access records in a table with columns for Locker Number, Customer Name, Key Type, Issue Date, Return Date, Status, and Actions.
  • Use the search bar to quickly locate a specific key access record. Apply filters using the Status dropdown (Filter by Status), Locker dropdown (All Lockers), and Customer dropdown (All Customers) to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • Available actions: Use View to see full key access details, Edit to update or modify the key access record, and Delete to permanently remove the record from the system.

Manage Renewals

  • To create a new renewal, click the “Create” button on the Manage Renewals page. Select the Renewal Type from the dropdown, either Membership or Booking. Based on the selected type, choose the corresponding Membership or Booking from the dropdown that appears.
  • The Locker and Customer fields will be automatically populated based on the selected Membership or Booking. Select the Renewal Date using the date picker to specify when the renewal should take effect, then click Create to submit.
  • The list page displays all renewals in a table with columns for Renewal Type, Membership ID, Booking ID, Locker, Customer, Renewal Date, Status, and Actions. Status will show as Pending, Approved, or Rejected depending on the review outcome.
  • Use the search bar to quickly locate a specific renewal. Apply filters using the Renewal Type dropdown (All Types), Status dropdown (All Status), Membership dropdown (All Memberships), Booking dropdown (All Bookings), Locker dropdown (All Lockers), and Customer dropdown (All Customers) to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • In the Actions column, use the Update Status to approve or update the status of a pending renewal request. Use View to see full renewal details, Edit to update or modify the renewal, and Delete to permanently remove the renewal from the system. Note that Approved and Rejected renewals only display the View option, as they can no longer be modified.

Manage Maintenance

  • To create a new maintenance record, click the “Create” button on the Manage Maintenance page. In the form that opens, select the Locker from the dropdown that requires maintenance.
  • Enter the Technician Name in the provided field to assign the responsible technician. Select the Reported Date using the date picker to indicate when the issue was first identified, and set the Repair Date to specify when the repair is scheduled or completed.
  • Choose the Repair Status using the radio buttons: Pending if the repair has not started, In Progress if work is currently underway, Completed if the repair has been finished, or Cancelled if the maintenance has been called off.
  • Enter a Description in the text area to provide additional details about the maintenance issue or work performed.
  • The list page displays all maintenance records in a table with columns for Locker Number, Technician Name, Reported Date, Repair Date, Repair Status, and Actions. Repair Status will show as Pending, In Progress, Completed, or Cancelled to reflect the current state of each maintenance task.
  • Use the search bar to quickly locate a specific maintenance record. Apply filters using the Repair Status dropdown (Filter by Repair Status) and the Locker dropdown (All Lockers) to narrow down results. Click Apply to activate the filters or Clear to reset them. Toggle between list view and grid view using the view buttons at the top right.
  • With the help of the Actions column, use View to see full maintenance details, Edit to update or modify the maintenance record, and Delete to permanently remove the record from the system.

System Setup

  • The System Setup section allows administrators to configure foundational data used across the system. It currently includes Locker Types, which are referenced when creating lockers throughout the platform.

Locker Types

  • To add a new locker type, click the “Create” button on the Locker Types page. In the form that opens, enter the Name of the locker type in the provided field. Optionally, add a Description to explain the characteristics or purpose of the locker type. Toggle the Active switch to enable or disable the locker type upon creation.
  • The Locker Types list displays all configured types in a table with columns for Name, Description, Status, and Action. The Status toggle allows administrators to quickly activate or deactivate a locker type directly from the list without opening the edit form.
  • Available Action: use Edit to update or modify an existing locker’s type, and Delete to permanently remove the locker type from the system. Note that locker types actively in use should be managed carefully, as changes may affect existing locker records that reference them.
