User Manual – Advocate SaaS

A comprehensive, step-by-step manual to install, set up, configure, and run Advocate SaaS, smoothly.

1. Introduction

Welcome to the Advocate SaaS user manual. Advocate SaaS is a self-hosted legal practice management platform built for lawyers, legal consultants, and law firms to manage cases, clients, appointments, documents, and billing from one secure system. This guide is built for customers who have purchased Advocate SaaS. Inside, you’ll find step-by-step instructions covering login, dashboard, case and client management, appointments, documents, billing, and system settings.

2. Registration and Login

Advocate SaaS includes a complete user authentication system that handles account registration, login, password reset, and email verification. The platform ensures secure access using role-based permissions and provides features to protect user accounts and manage sessions safely.

2.1 User Registration

To get started, users need to register by creating a new account using a valid email address and a secure password.

  • Go to the registration page using the link provided by the platform
  • Fill in the required details such as name, email, and password, confirm password
  • The system checks your input in real time and shows any missing or incorrect fields.
  • Once you submit the form, a verification email will be sent to your email address.
  • After email verification, your account will be activated and linked to a default plan automatically.

2.2 Email Verification

After signing up, you must verify your email before you can log in.

  • Check your email inbox for the verification message
  • Click on the verification link provided in the email
  • If you did not receive the email, use the “Resend Verification Email” option
  • The link may expire after a set time for security reasons
  • You cannot log in until your email is verified

2.3 User Login

Once your email is verified, you can log in to your account.

  • Enter your registered email and password on the login page
  • Use the “Remember Me” option to stay logged in on the device

2.4 Password Management

If you forget your password, Advocate SaaS allows you to reset it securely.

  • Click on the “Forgot Password” link on the login page
  • Enter your registered email address
  • You will receive a password reset link via email
  • Follow the link to create a new password
  • The system checks the strength and confirmation of the new password before saving it.

Users can also change their password after logging in by visiting their account settings. All password changes are tracked to ensure account safety.

3. Super Admin Introduction

The Super Admin runs the whole platform from one central dashboard, with nothing scattered across separate tools. Company accounts, subscription plans, coupons, and currencies are all managed from dedicated sections built for quick access. Branding, payment gateways, storage limits, and email delivery are configured once under Settings and apply platform-wide. This setup gives the Super Admin full authority over how the platform looks, runs, and gets billed.

Profile Settings

  • The Profile Information section allows users to manage their personal account details. Upload a profile picture by clicking the Change Avatar button (supported formats include JPG, PNG, and GIF, up to 2MB in size). Enter your Name and Email Address in the required fields to keep your account information accurate and up-to-date.
  • Click the “Save” button to apply all updates.
  • The Update Password section allows users to refresh their account passwords to maintain account security. Enter your Current Password in the first field to verify your identity. Enter your desired New Password in the second field, and re-enter the same password in the Confirm Password field.
  • Click the “Save” button to update your password.

Note: These profile settings are also available on the Company side. You can update your company profile information and password whenever needed.

Language Management

  • On the top-right side, you’ll find the language selector button. By clicking that button, you can select the language according to your needs. This option is visible to all types of users.
  • Create Language: Enter the language code, language name, or country code to add a new language to the platform.
  • The Manage Language section allows users to customize translation labels and their corresponding values across multiple supported languages. Select your preferred language from the left sidebar, where all available languages are displayed.
  • Use the Search labels field at the top right to quickly locate any specific label you wish to modify. Each label is displayed alongside an editable input field, where you can update the translation value as needed to match your organization’s terminology or regional preferences. The section also displays pagination details at the bottom, allowing you to navigate through the complete list of available labels efficiently.
  • Click the Save Changes button at the top right to apply all updates to the selected language.

Note: The custom language option is available only on the Super Admin side, while on the Company side, only the languages that have already been created are available as options.

3.1 Overview

Dashboard Insights

  • The Super Admin Dashboard provides a complete overview of the platform’s performance and activity at a glance. The welcome banner at the top greets the Super Admin by name and Displays the number of companies currently active under a subscription plan.
  • At the top right of the banner, quick badges show the total number of companies and the current monthly growth percentage, alongside quick-access icons for Coupons, Referral, and Settings. At the top right of the page, the Refresh button reloads the latest data across all dashboard sections.
  • The dashboard presents five summary cards displaying Total Revenue, Total Companies, Active Plans, Total Users, and Pending Requests. Each card shows the current value along with supporting context, and the Pending Requests card carries an “Action needed” tag when there are requests awaiting approval.
  • The Recently Registered Companies section on the left shows a list of the most recent companies that have joined the platform, each entry displaying the company’s avatar, name, admin email address, and the time elapsed since registration, with a color-coded status badge marking active accounts. Click View All to see the full list of companies.
  • On the right, the Top Plans section ranks subscription plans by revenue generated, displaying each plan’s rank, name, subscriber count, and total revenue, along with a progress bar showing its performance relative to the top plan. Click View All to see the full list of plans.
  • The New Companies Registered chart displays a bar chart showing the number of new companies that joined per month for the selected year, along with the total number of companies for that year shown as a badge. Use the year dropdown at the top right to switch between years.
  • The Monthly Revenue chart displays a line chart showing revenue from approved plan orders per month for the selected year, along with the total revenue for that year shown as a badge. Use the year dropdown at the top right to switch between years.

3.2 Management

3.2.1 Manage Companies

The Companies Management page allows the Super Admin to view and manage all registered companies on the platform.

Use the search bar to look up specific records, and click the All, Active, or Inactive tabs to filter the list by status, each showing a live count. Refine further by selecting a Start Date or End Date. Use “Clear Filters” to remove all selections. Two view-toggle icons (list and grid) on the far right let you switch how results are displayed.

Click the Login History icon at the top right of the page to view a complete log of all login activity across the platform.

Companies List

Each company in the list displays the following details:

  • Name: The company name and email address
  • Plan: The subscription plan currently assigned to the company
  • Created At: The date the company account was registered on the platform
  • Actions: Quick action buttons for managing each company

Each company row includes a set of action icons on the right side. Hover over any icon to see its label. The available actions are:

  • Login as Company: Logs in to the platform as that specific company, allowing the Super Admin to access and manage the company’s account directly
  • Company Info: Opens a detailed information panel showing the full profile and account details of the company
  • Upgrade Plan: Opens a pop-up to change or upgrade the company’s current subscription plan. Toggle between Monthly and Yearly billing, select a plan (e16. Free, Pro, or Enterprise), and click Upgrade Plan to confirm.
  • Reset Password: Opens a pop-up to reset the password for that company’s account. Enter the New Password in the field provided and click Save.
  • Toggle Status: Enables or disables login access for that company; disabling it prevents them from signing in to the platform.
  • Edit: Opens the company profile in edit mode
  • Delete: Permanently removes the company from the platform
Adding a New Company
  • Click the “Add Company” button at the top right of the page.
  • A pop-up will appear with the following fields:
    • Company Name: Enter the name of the company
    • Email: Enter the email address for the company account
    • Enable Login: Toggle this option to allow or restrict the company from logging in to the platform
Login History

The Login History button shows login records only for Super Admin and Company users who have actually logged into the platform. For each record, you can see login details, IP address, date and time, and device information. Use the View button to see full session details or the Delete button to remove a record.

3.2.2 Media Library

The Media Library page allows the Super Admin to upload, organize, and manage all media files used across the platform, including images and documents.

Media Library Overview

The page header displays the section title and description, along with the Upload Media button at the top right for adding new files.

  • Use the Search media files bar at the top to find specific files by name.
  • The top-right summary badges display the total number of Files, total Storage used, and total number of Images.

Each media file in the grid displays the following details:

  • File Type Badge: Indicates the file format (e.g., JPEG, PDF, MSWORD)
  • Preview: A thumbnail preview of the file or a file-type icon for non-image files such as PDFs and Word documents
  • File Name: The display name of the file
  • File Size: The size of the file in KB or MB
  • Upload Date: The date the file was uploaded

Click any file to open the Media Details panel, which displays:

  • File Name: The original file name
  • Display Name: The custom display name for the file
  • File Type: The MIME type (e.g., image/jpeg)
  • File Size: The size of the file
  • Uploaded: The date and time the file was uploaded
  • File URL: The direct URL to the file with a copy icon to copy the link to the clipboard

The Actions section provides three options:

  • View: Opens the file in a new tab for full-screen viewing
  • Download: Downloads the file to your local device
  • Delete: Permanently removes the file from the Media Library
Uploading Media Files
  • Click the “Upload Media” button at the top right of the Media Library page.
  • The Upload Files pop-up will appear with a drag-and-drop area.
  • Drag and drop your files directly into the upload zone, or click Choose Files to browse and select files from your device.
  • The files will be uploaded automatically and added to the Media Library.

Note: In the Media Library, the Super Admin can view images from all companies. However, on the company side, each company can only see the images that belong specifically to them.

Note: The Company side should have the same Media Library functionality and structure as the Super Admin side, ensuring consistent media management across both interfaces.

3.2.3 Plan management

The Plans section is accessible from the left sidebar and contains three sub-sections: Plan, Plan Request, and Plan Orders.

Subscription Plans
  • The Subscription Plans page displays all available plans offered to companies on the platform. Toggle between Monthly and Yearly billing views at the top centre (Yearly billing offers a Save 20% discount).
  • Each plan card displays the plan name, price, description, free trial duration (if applicable), and a What’s Included section showing usage limits such as Users, Employees, and Storage. The Features section indicates which Add-Ons (such as AI Integration) are enabled or disabled for the plan.
  • Plans can be toggled Active or Inactive directly from the card, and each card includes Edit and Delete action buttons. The default plan is also marked with a Default badge.
Creating a New Plan

Click the “Add Plan” button at the top right of the Subscription Plans page.

Fill in the following details on the Create Plan page:

  • Plan Name: Enter the name of the plan (e.g., Pro)
  • Monthly Price: Enter the monthly billing amount
  • Yearly Price (Optional): Enter the yearly billing amount – leave empty to automatically apply a 20% discount
  • Description: Provide a brief description of the plan (e.g., “Full access to all features including unlimited cases”)
  • Maximum Team Members: Set the maximum number of team members allowed
  • Maximum Cases: Set the maximum number of cases allowed
  • Maximum Clients: Set the maximum number of clients allowed
  • Storage Limit (GB): Define the storage quota in gigabytes
  • Trial Days: Set the number of free trial days
  • Under Features, toggle AI Integration on or off, and toggle Enable Trial to activate the trial period
  • Under Settings, toggle Active to enable the plan and optionally set it as the Default Plan (setting this as default will remove the default status from the current default plan)
Plan Requests

The Plan Requests page displays all subscription upgrade or change requests submitted by companies.

  • Use the search bar to look up specific records. Below, status tabs (All, Pending, Approved, Rejected) show the record count for each status.

Each request in the list shows:

  • Company: The name and email of the company that submitted the request
  • Plan: The requested subscription plan
  • Duration: Monthly or Yearly billing cycle
  • Status: Current status of the request (Pending, Approved, or Rejected)
  • Request Date: The date the request was submitted

For Pending requests, the Actions column provides two options:

  • Approve: Approves and activates the requested plan for the company
  • Reject: Rejects the plan request
Plan Orders

The Plan Orders page provides a complete record of all subscription orders placed across the platform.

  • Use the search bar to look up specific records, and refine the list by selecting a Date From or Date To. Use “Clear Filters” to remove all selections. The Filters badge simply displays the number of filters currently applied. Below, status tabs (All, Pending, Approved, Rejected, Completed) show the record count for each status.

Each order in the list displays:

  • Order Number: The unique order reference code (e.g., PO-RFG0YCRR)
  • Name: The company’s avatar, name, and admin email address that placed the order
  • Plan: The subscribed plan (e.g., Professional, Starter, Free)
  • Original Price: The plan’s standard price
  • Discount: The discount amount deducted, if any coupon was applied
  • Final Price: The amount charged after discount
  • Status: The current order status – Pending, Approved, Rejected, or Completed – shown as a color-coded badge
  • Receipt: A receipt icon appears for orders with an uploaded payment receipt
  • Order Date: The date the order was placed, sortable using the arrow next to the column header
  • Actions: View order details, and for Pending orders, quickly Approve or Reject the order directly from the table

For Approved orders, the Actions column provides View, which opens a detailed view of the plan order.

For Pending orders, the Actions column provides:

  • View: Opens a detailed view of the plan order
  • Approve: Confirms and activates the order
  • Reject: Rejects the order

3.2.4 Coupons

The Coupons page allows the Super Admin to create and manage discount coupons that companies can apply to their plan orders.

Use the search bar to look up specific records. Use the Type dropdown and Date From/Date To fields to refine the list. The Filters button displays the number of filters currently applied, and Clear Filters resets all selections. Below, the All, Active, and Inactive tabs show the record count for each status.

Coupons List

Each coupon in the list displays the following details:

  • Name: The display name of the coupon
  • Code: The unique coupon code that customers will apply
  • Type: The type of discount (Percentage or Flat Amount)
  • Min Spend: The minimum order amount required to use the coupon
  • Max Spend: The maximum order amount eligible for the coupon
  • Discount: The discount value applied (percentage or flat amount)
  • Coupon Limit: The total number of times the coupon can be used (or Unlimited)
  • User Limit: The number of times a single user can use the coupon
  • Expiry Date: The date the coupon expires
  • Status: Toggle the coupon Active or Inactive directly from the list
  • Actions: Quick action buttons for managing each coupon

Each coupon row includes the following action icons on the right side:

  • View Details: Opens the coupon detail page showing the full coupon information and usage history
  • Edit: Opens the coupon in edit mode to update its details
  • Delete: Permanently removes the coupon from the platform

Click the View Details icon on any coupon to open its detailed view, which displays the complete coupon information and usage history. The page is divided into the following sections:

  • Summary Cards: Display the Discount Value, Times Used (used vs total limit), User Limit, and Expires date, along with the current status badge (Active/Inactive).
  • Coupon Information: Shows the Coupon Code, Type (Percentage or Flat Amount), Minimum Spend, and Maximum Spend values.
  • Usage History: Lists every order that has used the coupon, including the User (name and email), Order Number, Plan, Billing Cycle, Original Amount, Discount Applied, Final Amount, and Used At date.
Adding a New Coupon

Click the “Add Coupon” button at the top right of the Coupons page.

A pop-up will appear with the following fields:

  • Coupon Name: Enter the display name of the coupon
  • Discount Type: Select the type of discount from the dropdown
  • Discount Value: Enter the discount amount
  • Total Usage Limit: Set the maximum number of times the coupon can be used overall
  • Code Generation: Choose between Manual Entry to enter your own coupon code or Auto Generate to create one automatically
  • Coupon Code: Enter the unique coupon code (e.g., SUMMER25) if Manual Entry is selected
  • Minimum Spend: Set the minimum order amount required to use the coupon
  • Maximum Spend: Set the maximum order amount eligible for the coupon
  • Usage Limit Per User: Define how many times a single user can use the coupon
  • Expiry Date: Select the date the coupon will expire

3.2.5 Currency

The Currency page allows the Super Admin to manage all currencies available on the platform.

  • Use the Search bar to find a specific currency by name, code, or symbol.
Currency List

Each currency in the list displays the following details:

  • Name: The full name of the currency (e.g., Ugandan Shilling, Serbian Dinar)
  • Code: The international currency code (e.g., UGX, RSD, USD)
  • Symbol: The currency symbol (e.g., USh, дин, $)
  • Default: Indicates whether the currency is set as the default platform currency (Yes or No)
  • Actions: Quick action buttons for managing each currency

Each currency row includes the following action icons on the right side:

  • View: Opens a detailed view of the currency information
  • Edit: Opens the currency in edit mode to update its details
  • Delete: Permanently removes the currency from the platform
Adding a New Currency

Click the “Add Currency” button at the top right of the Currency page.

A pop-up will appear with the following fields:

  • Currency Name: Enter the full name of the currency (e.g., US Dollar, Euro, British Pound)
  • Currency Code: Enter the international currency code (e.g., USD, EUR, GBP)
  • Currency Symbol: Enter the currency symbol (e.g., $, €, £)
  • Description: Provide a brief description of the currency (optional)
  • Set as Default Currency: Check this option to make the currency the default across the platform

3.2.6 Referral Program

The Referral Program section allows the Super Admin to manage the platform’s referral system, track referred users, process payout requests, and configure program settings. The page is organized into four tabs accessible from the left-hand sidebar: Dashboard, Referred Users, Payout Requests, and Settings.

Dashboard
  • The Dashboard provides a complete overview of the referral program’s performance and activity at a glance.
  • The dashboard presents four summary cards displaying Total Referral Users, Pending Payouts, Total Commission Paid, and Active Companies. These cards provide a quick overview of the referral program’s overall performance and key metrics.
  • The Top Referring Companies section on the left ranks companies with the most referrals, displaying each company’s name, email, total number of referrals, and total commission earned.
  • On the right, the Monthly Performance section highlights the year’s statistics, including Referral Signups (total this year) and Payouts Processed (total amount paid this year).
Referred Users

The Referred Users page displays all users who have signed up through referral links across the platform.

The page presents three summary cards at the top displaying Total Referred Users, Users with Plans, and Total Commission Earned.

The Referred Users List section shows each referred user with the following details:

  • Company Name & Email: The name and email address of the referred company
  • Registration Date: The date the user signed up
  • Plan: The subscription plan assigned (e.g., Free, Starter, Pro, or No Plan)
  • Plan Price: The monthly price of the plan
  • Commission: The commission earned from the referral (if applicable)
  • Commission History: Displays the commission percentage and the exact amount earned from that referral
Payout Requests

The Payout Requests page displays all commission payout requests submitted by referring companies.

Each payout request in the list displays the following details:

  • Company: The name and email of the company requesting payout
  • Amount: The payout amount requested
  • Status: Current status of the request (Pending, Approved, or Rejected)
  • Date: The date the payout request was submitted
  • Actions: Quick action buttons for managing each request

For Pending requests, the Actions column provides two options:

  • Approve: Approves the payout request and processes the payment
  • Reject: Rejects the payout request
Settings

The Settings page allows the Super Admin to configure the referral program parameters.

  • Enable Referral Program: Toggle this option to activate or deactivate the referral program across the platform.
  • Commission Percentage (%): Set the commission rate that referrers will earn on each successful referral (e.g., 10.00 for 10%).
  • Minimum Threshold Amount ($): Define the minimum commission amount a referrer must accumulate before being eligible to request a payout (e.g., 50.00).
  • Referral Guidelines: Enter the program guidelines and terms that will be displayed to referrers, explaining how the referral program works and the conditions for earning commissions.

Click Save Settings to apply your changes.

3.2.7 Landing Page

The Landing Page section is accessible from the left sidebar and contains four sub-sections: Landing Page, Custom Pages, Contact Inquiries, and Newsletter.

Landing Page Settings

The Landing Page Settings allow the Super Admin to fully customize the content, layout, and appearance of the platform’s public landing page. The page is organized into five groups: Setup, Layout, Content, Social, and Engagement, each containing multiple configurable sections accessible from the left-hand sidebar. Use the Search section bar to quickly locate any section. Click Save Changes at the top right after making any updates.

Setup

General

The General Settings section configures basic company information and theme colors that apply across the landing page.

  • Company Information: Enter the Company Name, Contact Email, Contact Phone, and Contact Address.
  • Theme Colors: Define the Primary Color, Secondary Color, and Accent Color using color pickers or hex codes.

Order

The Section Order page allows you to control the order and visibility of sections displayed on the landing page.

  • Drag and drop any section using the handle on the left to change its position.
  • Toggle the Enable switch on the right to show or hide a section on the live landing page.
  • Disabled sections will still appear in the order list but will not be visible to visitors on the landing page.

Advanced

The Advanced Settings section allows configuration of SEO, custom CSS, and JavaScript for the landing page.

  • SEO Settings: Enter the Meta Title and Meta Description to optimize the landing page for search engines.
  • Custom CSS: Add custom CSS code to override default styles.
  • Custom JavaScript: Add custom JavaScript code for advanced functionality.
Layout

Header

The Header Configuration section customizes the header appearance and navigation.

  • Toggle Enable Section to display or hide the header.
  • Toggle Transparent Header to make the header background transparent.
  • Define the Background Color, Text Color, and Button Style (e.g., Gradient).

Hero

The Hero Section configures the main banner area of the landing page with title, subtitle, and call-to-action elements.

  • Hero Layout: Select the Layout Style (e.g., Content Left, Image Right) and define the Section Height in pixels (300-1000).
  • Hero Content: Enter the Hero Title, Hero Subtitle, Announcement Badge, Primary Button Text, and Secondary Button Text.
  • Hero Statistics: Add compelling statistics to the hero section by entering the Value and Label with the available delete option. Then click Add Statistic to add more.
  • Hero Image: Upload or browse a Hero Image and select its Image Position (e.g., Right Side).
  • Hero Colors: Set the Background Color, Text Color, and toggle Background Overlay with a custom Overlay Color.

Footer

The Footer Settings section configures the footer content, links, and social media profiles.

  • Footer Content: Enter the Company Description, Newsletter Title, and Newsletter Subtitle.
  • Social Links: Add social media links by entering the Name, selecting the Icon, and adding the URL with the available delete option. Click Add Social Link to add more.
  • Footer Links: Configure footer navigation links grouped by category; Product Links, Company Links, Support Links, and Legal Links. Each group includes a Section Title and a list of links with Name and URL fields, each with a delete option. Click Add [Category] Link to add more entries.
Content

Features

The Features Section showcases your product features and benefits on the landing page.

  • Features Layout: Choose the Layout Style (e.g., Grid) and the number of Columns.
  • Features Content: Enter the Features Title and Features Description, and toggle Show Icons to display icons alongside features.
  • Features Style: Set the Background Color and upload a Section Image.
  • Feature Boxes: Add individual feature items by entering the Title, selecting an Icon, and adding a Description with the available delete option. Click Add Feature Box to add more.

Screenshots

The Screenshots Gallery section displays application screenshots and demos.

  • Screenshots Content: Enter the Section Title and Section Subtitle.
  • Screenshots Gallery: Add individual screenshots by uploading a Screenshot Image, then enter the Title, Alt Text, and Description with the available delete option. Click Add Screenshot to add more.

Why Us

The Why Choose Us section highlights reasons why customers should choose your platform.

  • Why Choose Us Content: Enter the Section Title and Section Subtitle.
  • Reasons to Choose Us: Add key benefits by entering the Title, selecting an Icon, and providing a Description with the available delete option. Click Add Reason to add more.
  • Statistics Section: Add trust indicators by entering the Statistics Title, Statistics Subtitle, and individual stat Value, Label, and Color with the available delete option. Click Add Statistic to add more.
  • Call to Action: Enter the CTA Title and CTA Subtitle to encourage user engagement.

About

The About Section tells your company’s story and mission.

  • About Layout: Select the Layout Style and Image Position.
  • About Content: Enter the About Title, About Description, Story Title, and Story Content.
  • About Image & Style: Upload an About Image, set the Background Color, and toggle the Parallax Effect.
  • About Statistics: Add key metrics by entering the Value, Label, and colour with the available delete option. Click Add Statistic to add more.
  • About Values: Add company values and mission statements by clicking Add Value.
  • Image Section: Enter the Image Title, Image Subtitle, and Image Icon for the overlay content.
Social

Team

The Team Section showcases your team members and their roles.

  • Team Content: Enter the Team Title and Team Subtitle.
  • Team Members: Add individual members by entering the Name, Role, Profile Image, Bio, LinkedIn, and Email with the available delete option. Click Add Team Member to add more.
  • Join Team CTA: Enter the CTA Title, CTA Description, and Button Text for team recruitment.

Reviews

The Testimonials section displays customer reviews and testimonials.

  • Testimonials Content: Enter the Section Title and Section Subtitle.
  • Trust Indicators: Enter the Trust Section Title and add credibility statistics by providing the Value, Label, and Color with the available delete option. Click Add Trust Statistic to add more.
  • Default Testimonials: Add customer reviews by entering the Name, Role, Company, Rating, and Content with the available delete option. Click Add Default Testimonial to add more.

Plans

The Pricing Plans section configures the pricing display on the landing page.

  • Plans Section Content: Enter the Section Title, Section Subtitle, and FAQ Text.
  • The actual plans displayed are managed through the Plans module (refer to section 3.5).
Engagement

FAQ

The FAQ Section displays frequently asked questions and answers.

  • FAQ Section Content: Enter the Section Title, Section Subtitle, CTA Text, and Button Text.

Newsletter

The Newsletter section configures newsletter subscription content and benefits.

  • Newsletter Content: Enter the Section Title, Section Subtitle, and Privacy Text.
  • Newsletter Benefits: Add subscription benefits by entering the Icon (Emoji), Title, and Description with the available delete option. Click Add Benefit to add more.

Contact

The Contact Section configures the contact form and company information.

  • Contact Section Content: Enter the Section Title, Section Subtitle, Form Title, Contact Info Title, and Contact Info Description.
  • Contact Information: Enter the Email Address, Phone Number, and Address.
  • Contact FAQs: Add contact-related frequently asked questions by clicking Add FAQ.
Custom Pages

The Custom Pages section allows the Super Admin to create and manage custom content pages for the landing site, such as About Us, Privacy Policy, Terms of Service, Contact Us, FAQ, and Refund Policy.

  • Use the Search bar to find a specific custom page by title.
Custom Pages List

Each custom page in the list displays the following details:

  • Title: The name of the custom page (e.g., About Us, Privacy Policy)
  • Content: A short preview of the page content
  • Status: Indicates whether the page is Active or Inactive
  • Created: The date the page was created
  • Actions: Quick action buttons for managing each page

Each custom page row includes the following action icons:

  • Edit: Opens the page in edit mode to update its content and settings
  • Delete: Permanently removes the custom page from the platform
Adding a New Custom Page

Click the “Add Page” button at the top right of the Custom Pages page. The Create Custom Page form will open with the following sections:

Page Information

  • Page Title: Enter the title of the page (e.g., About Us, Privacy Policy). The title will be used to automatically generate the URL slug.
  • Content: Use the rich text editor to format the page content with headings, lists, links, quotes, and more using the toolbar options.

SEO Settings

  • Meta Title: Enter an SEO-optimized title for search engines (recommended: 50-60 characters).
  • Sort Order: Set the display order in the navigation (lower numbers appear first).
  • Meta Description: Provide a brief description for search engines (recommended: 150-160 characters).

Publish Settings

  • Publish Page: Toggle this option to make the page visible to the public immediately, or keep it disabled to save the page as a draft.
Contact Inquiries

The Contact Inquiries page displays all messages submitted by visitors through the contact form on the landing page. The Super Admin can review and manage each inquiry.

  • Use the Search bar to find a specific inquiry by name or email.
Inquiries List

Each inquiry in the list displays the following details:

  • User: The submitter’s colored initials avatar, name, and email address
  • Date: The date the inquiry was submitted
  • Actions: Quick action buttons for managing each inquiry

Each inquiry row includes the following action icons on the right side:

  • View: Opens the full inquiry details, including the complete message content
  • Delete: Permanently removes the inquiry from the platform
Newsletter

The Newsletter page displays all email addresses that have subscribed to the platform’s newsletter through the landing page.

  • Use the Search bar to find a specific subscriber by email address.
Newsletter Subscribers List

Each subscriber in the list displays the following details:

  • Email: The email address of the subscriber
  • Subscribed Date: The date the user subscribed to the newsletter
  • Actions: Quick action buttons for managing each subscriber

Each subscriber row includes the following action icon:

  • Delete: Permanently removes the subscriber from the newsletter list.

3.3 System Control

3.3.1 Email Templates

The Email Templates page allows the Super Admin to manage the system-generated email templates sent to users across the platform.

  • Use the Search bar to find a specific template by name.
Templates List

Each template in the list displays the following details:

  • Name: The name of the email template
  • Actions: A View icon to open and edit the template

Clicking the View icon opens the template’s editing page, which is divided into two sections: Template Settings and Available Variables.

Template Settings
  • Template Name: Displays the name of the template (this field cannot be changed)
  • From Name: Enter the sender name that will appear on outgoing emails
  • Click Save Changes to update the template settings
Email Content
  • Select a language tab (e.g., EN, ES, AR, DA, DE, FR) to customize the email content for that specific language
  • Email Subject: Enter the subject line for the email, which can include dynamic variables (e.g., “New Opportunity Created – {opportunity_name}”)
  • Email Content: Use the rich text editor to compose the email body, with formatting options such as bold, italic, strikethrough, alignment, lists, quotes, links, and a code view
  • Click Save Content to save the email content for the selected language
Available Variables

The right-hand panel lists all the dynamic variables that can be used within the email subject and content (e.g., {opportunity_name}, {account_name}, {contact_name}, {assigned_user_name}, {company_name}).

Click any variable to copy it to the clipboard, then paste it into the template. These variables are automatically replaced with actual values when emails are sent.

3.3.2 Settings

The Settings page allows the Super Admin to configure system-wide preferences, branding, payment gateways, and other platform configurations. The page is organized into multiple sections accessible from the left-hand sidebar: System Settings, Brand Settings, Currency Settings, Email Settings, Payment Settings, Storage Settings, ReCaptcha Settings, Chat GPT Settings, Cookie Settings, SEO Settings, and Cache Settings.

System Settings

The System Settings section configures system-wide preferences for the application.

  • Default Language: Select the default language for the platform from the dropdown (e.g., English).
  • Date Format: Select the preferred date format (e.g., Y-m-d).
  • Time Format: Select the preferred time format (e.g., H:i for 14:30).
  • Calendar Start Day: Choose the day the calendar week begins (e.g., Sunday).
  • Default Timezone: Select the platform’s default timezone (e.g., UTC).
  • Email Verification: Toggle this option to require users to verify their email addresses upon registration.
  • Landing Page: Toggle this option to enable or disable the public landing page.
  • User Registration: Toggle this option to allow new users to create accounts on the platform.
  • Terms and Conditions URL: Enter the URL for your Terms and Conditions page that will be linked in the registration form.

Click Save Changes to apply the updates.

Brand Settings

Customize your application’s branding and appearance. A Live Preview panel on the right side of the page shows how your changes will look in real time. Brand Settings has three tabs:

Logos Tab
  • Logo (Dark Mode): Upload the logo displayed when the application is in dark mode. Click “Browse” to select a file or “X” to remove the current logo.
  • Logo (Light Mode): Upload the logo displayed when the application is in light mode. Click “Browse” to select a file or “X” to remove the current logo.
  • Favicon: Upload the small icon displayed in the browser tab. Click “Browse” to select a file or “X” to remove the current favicon.
Text Tab
  • Title Text: Enter the application title that will be displayed in the browser tab
  • Footer Text: Enter the text that will appear in the footer section across the platform
Theme Tab
  • Theme Color: Select a theme color from the available preset color options (Blue, Green, Purple, Orange, Red, Teal)
  • Custom Color: Enter a custom hex color code, also available as a selection option(e.g., #10b981) to apply a personalized theme color to your application.
  • Sidebar Variant: Choose how the sidebar is displayed:
    • Inset: Sidebar embedded within the page layout (default)
    • Floating: Sidebar appears as a floating panel
    • Minimal: Compact sidebar with minimal styling
  • Sidebar Style: Select the sidebar appearance:
    • Plain: Simple, flat sidebar design (default)
    • Colored: Sidebar with a color-filled background
    • Gradient: Sidebar with a gradient color effect
  • Layout Direction: Set the layout direction:
    • Left-to-Right: Standard LTR layout (default)
    • Right-to-Left: RTL layout for right-to-left languages
  • Theme Mode: Choose the display mode:
    • Light: Light color theme (default)
    • Dark: Dark color theme
    • System: Automatically matches the system theme preference

Click “Save Changes” to apply all brand settings.

Currency Settings

The Currency Settings section configures how currency values are displayed throughout the application.

  • Format Options: Displays a live preview of the currency format (e.g., $1,234.56) along with a sample value field and Reset button.
  • Default Currency: Select the platform’s default currency from the dropdown (e.g., USD – US Dollar).
  • Decimal Places: Choose the number of decimal places to display (e.g., 2 for 1234.56).
  • Symbol Position: Select whether the currency symbol appears before or after the amount (e.g., $100 or 100$).
  • Decimal Separator: Choose the separator used for decimals: Dot (123.45) or Comma (123,45).
  • Thousands Separator: Choose the separator for thousands (e.g., Comma 1,234.56).
  • Show Decimals: Toggle this option to display decimal places in amounts.
  • Add Space: Toggle this option to add a space between the amount and the currency symbol.

Click Save Changes to apply the updates.

Email Settings

The Email Settings section configures email server settings for system notifications and communications.

  • Email Provider: Select the email provider from the dropdown (e.g., SMTP).
  • Mail Driver: Enter the mail driver (e.g., smtp).
  • SMTP Host: Enter the SMTP server host (e.g., smtp.example.com).
  • SMTP Port: Enter the SMTP server port (e.g., 587).
  • SMTP Username: Enter the SMTP username (e.g., user@example.com).
  • SMTP Password: Enter the SMTP password.
  • Mail Encryption: Select the encryption method (e.g., TLS).
  • From Address: Enter the email address that messages will be sent from (e.g., noreply@example.com).
  • From Name: Enter the sender name (e.g., WorkDo System).

The Test Email Configuration panel on the right allows you to verify your settings by entering an email address in Send Test To and clicking Send Test Email.

Click Save Changes to apply the updates.

Payment Settings

The Payment Settings section configures the payment gateways available for subscription plans.

  • Use the Search payment methods bar to find a specific gateway.
  • Use the All Methods dropdown to filter by category.
  • Toggle each payment method on or off using the switch next to its name.

The platform supports a wide range of payment gateways. For each gateway, click the toggle to enable it, then enter the required credentials. Most gateways include a Mode option (Sandbox or Live) and a link to the gateway’s Dashboard to retrieve API credentials.

Bank Transfer
  • Bank Details: Enter the bank name, account number, and any other details customers will use for manual transfers.
Credit Card (Stripe)
  • Publishable Key: Enter your Stripe publishable key.
  • Secret Key: Enter your Stripe secret key.
PayPal
  • Mode: Choose Sandbox or Live.
  • Client ID: Enter your PayPal Client ID.
  • Secret Key: Enter your PayPal Secret Key.

Configure file storage settings for your application. Storage Settings has three tabs: Local Storage, AWS S3, and Wasabi.

Local Storage Tab
  • Allowed File Types: Select the file types permitted for upload by checking the corresponding checkboxes (e.g., csv, doc, docx, gif, png, jpg, pdf, etc.)
  • Max Upload Size (KB): Enter the maximum allowed file upload size in kilobytes (default: 2048 KB)
AWS S3 Tab
  • AWS Access Key ID: Enter your AWS access key ID
  • AWS Secret Access Key: Enter your AWS secret access key
  • AWS Default Region: Enter the default AWS region (e.g., us-east-1)

  • Google Recaptcha Version: Select the reCAPTCHA version to use (e.g., v2).
  • Site Key: Enter your Google reCAPTCHA Site Key.
  • Secret Key: Enter your Google reCAPTCHA Secret Key.

ChatGPT Settings

The Chat GPT Settings section configures Chat GPT integration settings for AI-powered features.

  • Chat GPT Key: Enter your Chat GPT API key.
  • Chat GPT Model Name: Select the Chat GPT model to use from the dropdown (e.g., GPT-3.5 Turbo).

Click Save Changes to apply the updates.

Cookie Settings

The Cookie Settings section configures cookie consent and privacy settings for your application.

  • Enable Logging: Toggle this option to enable cookie activity logging.
  • Strictly Necessary Cookies: Toggle this option to enable strictly necessary cookies.
  • Cookie Title: Enter the title displayed on the cookie consent banner.
  • Strictly Cookie Title: Enter the title displayed for the strictly necessary cookies section
  • Cookie Description: Enter the description explaining the platform’s general cookie usage.
  • Strictly Cookie Description: Enter the description explaining what the strictly necessary cookies are used for.
  • Contact Us Description: Enter the message shown to users who have questions about the cookie policy.
  • Contact Us URL: Enter the URL users can visit to contact you regarding the cookie policy.

The Download Accepted Cookies panel lets you download a CSV file of accepted cookie preferences by clicking Download CSV.

SEO Settings

The SEO Settings section configures SEO settings to improve your website’s search engine visibility.

  • Meta Keywords: Enter relevant keywords that describe your content, separated by commas
  • Meta Description: Write a compelling description that summarizes your page content and encourages clicks from search results (up to 160 characters).
  • Meta Image: Upload the image used when your page is shared on social media. Click “Change Image” to select a file or “X” to remove the current image. Recommended size: 1200×630px for optimal social media sharing.

The SEO Preview panel on the right shows a live Social Media Preview of how your page will appear when shared, along with SEO Tips: use 3-5 relevant keywords, keep descriptions between 150-160 characters, and use a 1200×630px image for best results.

Click Save Changes to apply the updates.

Cache Settings

The Cache Settings section allows the Super Admin to manage the application cache to improve performance. This page is intended for more advanced users: it can safely be ignored if you’re not familiar with what cache is.

  • Current Cache Size: Displays the total amount of cached data currently stored (e.g., 0.40 MB).
  • Click Clear Cache to remove all cached data.

Clearing the cache will remove:

  • Application cache
  • Route cache
  • View cache
  • Configuration cache

4. Admin Login Process

4.1 Access Advocate SaaS:

Go to the Advocate SaaS website and enter your admin login credentials.

Admin Credentials:

You’ll need a username and password provided by the system administrator.

Log In:

Click the “Log In” button to access your admin dashboard.

5. Overview

5.1 Dashboard Insights

  • The Company Dashboard provides a complete overview of the firm’s daily activity and performance at a glance. The welcome banner at the top greets the company by name and displays the number of active cases currently in progress.
  • At the top right of the banner, quick badges show the total number of cases and the current monthly growth percentage, alongside quick-access icons for Cases, Clients, Hearings, Messages, and Settings. At the top right of the page, the Refresh button reloads the latest data across all dashboard sections.
  • The dashboard presents four summary cards displaying Active Cases, Active Clients, Total Revenue, and Pending Tasks. Each card shows the current value along with supporting context, and the Pending Tasks card carries a “Due” tag when there are hearings approaching.
  • The Today’s Timesheets section on the left shows a list of the day’s logged time entries, each entry displaying the task title, the related case and staff member, the time range worked, and the hours logged, with billable entries showing their dollar value and non-billable entries flagged accordingly. Click View All to see the full list of timesheets.
  • On the right, the Today’s Expenses section lists the day’s recorded expenses, displaying each expense’s description, category, related case, and cost, along with a color-coded status badge marking whether it’s Approved, Pending, or Rejected. Click View All to see the full list of expenses.
  • The Monthly Revenue chart displays a line chart showing payments received per month for the selected year, along with the total revenue for that year shown as a badge. Use the year dropdown at the top right to switch between years.
  • The Upcoming Hearings section shows a list of scheduled court hearings, each entry displaying the case name, the court, the hearing type as a tag, and the scheduled date and time. Click View All to see the full list of hearings.
  • The Plan Status section, on the right, displays the firm’s current subscription tier along with a usage overview showing consumption across Team, Storage, Cases, and Clients, plus the plan’s expiration date and pricing.
  • The Recent Tasks section lists the firm’s latest tasks, each entry displaying the task title, related case and assignee, due date, a priority tag, and a status badge. Click View All to see the full list of tasks.
  • The Tasks by Priority chart displays a donut chart breaking down all tasks by priority level (High, Medium, Low, and Critical), showing the count and percentage share for each.

5.2 Analytics & Reports

  • The Analytics & Reports page gives a comprehensive breakdown of the firm’s performance and reporting metrics, with a subtitle confirming the level of insight provided and a badge showing the current subscription tier.
  • Four summary cards at the top display Success Rate, Avg Resolution, Collection Rate, and Billable Hours, each paired with an icon and its current value for a quick pulse on practice performance.
  • The Yearly Revenue Trend chart displays an area chart showing revenue generated per month for the selected year. Use the year dropdown at the top right to switch between years.
  • The Recent Cases section on the left lists the firm’s most recently updated cases, each entry displaying the case name, the associated client, and a color-coded status badge indicating whether it’s Active, Pending, or On Hold. Click View All to see the full list of cases.
  • On the right, the Overdue Invoices section lists unpaid invoices past their due date, each entry displaying the invoice number, the client name, and the outstanding amount owed. Click View All to see the full list of overdue invoices.
  • The Cases by Year chart displays a multi-line chart comparing case volume by priority level (High, Low, and Medium) across each month of the selected year. Use the year dropdown at the top right to switch between years.
  • The Tasks by Priority chart displays a grouped bar chart breaking down task counts by priority level (Critical, High, Low, and Medium) for each month of the selected year, making it easy to spot workload spikes. Use the year dropdown at the top right to switch between years.
  • At the bottom of the page, the Amount Alert banner flags the total value of unpaid invoices, drawing immediate attention to outstanding receivables that need follow-up.

5.3 Calendar

  • The Calendar section provides a centralized visual overview of all your firm’s scheduled activities, including court hearings, meetings, and case filings. It consolidates data from across the system into a single calendar view, making it easy to spot conflicts, plan ahead, and track upcoming activities at a glance.
  • The top left of the page includes navigation controls with previous and next arrows to move between months, along with a “Today” button to instantly return to the current date, next to a header showing the currently selected month and year.
  • The top right of the page includes three view toggles that allow you to switch between different calendar layouts:
    • Month: Displays a full month grid showing all events across each day of the month
    • Week: Displays a detailed weekly view with hourly time slots for scheduled events
    • Day: Displays a single day in detail with hourly time slots, useful for reviewing a specific date’s schedule
  • Each event on the calendar is labeled with its title and related case and color-coded by event type (such as court hearings, meetings, and case filings) for quick identification. The current date is highlighted for easy reference.
  • The Upcoming Events panel, displayed on the right side of the page, lists the next scheduled events in chronological order, each with an icon, title, event-type tag, date and time, and related case, so you can quickly see what’s coming up without scanning the full calendar.
  • The This Month panel, displayed below Upcoming Events, summarizes the current month’s activity with counts for Total Events, Hearings, and Timeline Events.

7. Client & Communication

7.1 Client Management

7.1.1 Clients

The Clients page allows you to manage client profiles and contact details.

Clients List

The main table displays all existing clients.

  • Use the Search bar to find a specific client. Use the All Types and All Status dropdowns to filter the list; active filters appear as removable tags and can be cleared with Clear Filters.

Each client in the list displays:

  • Client: The client’s profile picture and name, along with their email address
  • Phone: The client’s phone number
  • Type: The client type (e.g., Individual, Small Business, Government)
  • Status: A color-coded tag showing whether the client is Active or Inactive

Each row includes the following action icons on the right side:

  • View: Opens the client’s detailed profile
  • Edit: Opens the client details for editing
  • Reset Password: Opens the Reset Client Password dialog, where you can set and confirm a new password for the client
  • Toggle Status: Switches the client between Active and Inactive
  • Delete: Permanently removes the client

Clicking View on a client opens their detailed profile, showing:

  • Header: The client’s ID (e.g., CL000001), name, client type tag, tax rate, and status
  • Contact Information: The client’s email, phone, date of birth, and address

Adding a New Client

Click the Add Client button in the top right to open the Add New Client panel.

The Documents page allows you to upload and manage documents for your clients.

Documents List

The main table displays all existing documents.

  • Use the Search bar to find a specific document.
  • Use the All Clients and All Types dropdowns to filter the list; active filters appear as removable tags (e.g., Client: Emily Davis, Type: Contract) and can be cleared with Clear Filters.
  • Use the status tabs – All, Active, Archived – to quickly view documents by their current status, with a count shown beside each tab.

Each document in the list displays:

  • #: The row number
  • Client: The client’s profile picture and name, along with their email address
  • Document Name: The name of the file (e.g., Financial_Statement.xlsx)
  • Type: A color-coded tag showing the document type (e.g., Contract, Evidence, Correspondence, Court Filing)
  • Status: A color-coded tag showing whether the document is Active or Archived
  • Uploaded: The date the document was uploaded

Each row includes the following action icons on the right side:

  • View: Opens the document details
  • Edit: Opens the document details for editing

Adding a New Document

Conversations List

The panel on the left displays all existing conversations.

  • Use the Search conversations bar to find a specific conversation.

Each conversation in the list displays:

  • Profile Picture: The contact’s profile image
  • Name: The contact’s name
  • Role Tag: Indicates whether the contact is a Team Member or Client
  • Time: The time of the last message
  • Message Preview: A short excerpt of the most recent message

Selecting a conversation highlights it in the list and opens the full message thread on the right.

Message Thread

The panel on the right displays the conversation with the selected contact.

  • Header: Shows the contact’s profile picture, name, and role tag (e.g., Michael Brown, Client), along with a Delete icon to remove the conversation
  • Message History: Displays sent and received messages in a chat bubble format, each with a timestamp and a delivery/read status indicator
  • Message Input: A text field at the bottom labeled Type a message…, with a send button to deliver the message

8. Billing

8.1 Billing & Invoicing

8.1.1 Time Sheet

  • The Time Sheet section lets you track weekly time entries per team member across cases. Click “Add Time Sheet” to log a new entry, which opens the Add New Time Sheet form.
  • In the form, select the Case and Team Member from their dropdowns, then enter a Description. Set the Entry Date, Start Time, and End Time, then choose whether it’s Billable (defaults to Yes) and enter an Hourly Rate. Optionally add Notes, then click “Save” to create the entry.
  • Use the arrows beside the month label to move between months, and the Team Member dropdown (defaults to “All Members”) to filter the view to a specific person.
  • Three summary cards on the right show Week Hours, Week Entries, and Members, giving a quick snapshot of the team’s logged time for the selected week.
  • The grid lists each Team Member with their avatar and email down the left, and a column for each day of the week (Mon-Sun) plus a Week total on the right. Use the arrows beside the day headers to move the visible day range, and the current day is highlighted.
  • Each day’s cell shows the logged hours along with a status icon:
    • Submitted – entry has been logged but not yet approved
    • Approved – entry has been reviewed and approved
    • Both Status – the day has a mix of submitted and approved entries
    • Time Sheet Not Added – no entry logged for that day
    • A dash marks days that are in the future
  • Clicking on a day’s cell opens a detail popup for that team member and date, showing their avatar and name, the date, the total hours logged, and the number of entries.
  • Each entry within the popup is listed as its own card, showing the hours logged and time range (e.g. 09:00 – 12:00), a Billable or Non Billable tag, and a status badge (Submitted or Approved). Below that, the entry shows the associated Case ID and name, and the entry’s Description, along with the following actions:
    • View to see the full details of the entry
    • Edit to modify the entry’s details
    • Approve to mark a submitted entry as approved
    • Delete to permanently remove the entry

8.1.2 Expenses

  • The Expenses section lets you track and approve employee expenses grouped by case. Click “Add Expense” to log a new expense, which opens the Add New Expense form.
  • In the form, select the Case and Category from their dropdowns, then enter a Description. Choose whether it’s Billable (defaults to Yes), upload a Receipt (.jpg, .jpeg, .png, .pdf, max 5.0MB), and enter the Amount and Expense Date. Optionally add Notes, then click “Save” to create the expense.
  • Three summary cards at the top show Total, Pending, and Approved amounts, giving a quick snapshot of the firm’s overall expense standing.
  • Use the search bar to look up specific expenses. Use the Categories and Bill Types dropdowns (default to “All Categories” and “All Bill Types”) to refine the list. The Filters button displays the number of filters currently applied as a badge, and Clear Filters resets all selections.
  • On the left, the Cases panel lists every case with its total amount, entry count, and expense count; selecting a case filters the table to its expenses.
  • At the top of the table, the selected case’s name and ID are shown along with its Total, Billable, and Non-Billable amounts, and three counters for Pending, Approved, and Rejected expenses.
  • The table lists each expense with a row number, the Submitted By member’s avatar, name, and email, along with its Category, Date, Billable status (Yes/No), and Amount, and the following actions:
    • Approve to mark the expense as approved
    • Reject to mark the expense as rejected
    • View to see the full details of the expense
    • Edit to modify the expense’s details
    • Delete to permanently remove the expense

8.1.3 Invoices

  • The Invoices section lets you create, manage, and track client invoices and their payment status. Click “Add Invoice” to open a dedicated page for generating a new invoice by selecting a case and adding billable items.
  • On the Add Invoice page, the Invoice Details panel lets you set the Invoice Date and Due Date, select the Client and Case from their dropdowns, and add optional Notes. The Invoice Summary panel on the right shows the Subtotal, an editable Tax (%), the calculated Tax Amount, and the Total, updating live as items are added note.
  • The Invoice Items table lists each billable item pulled in from the case, showing its Description with a source tag (Time Sheet or Expense) and date, along with editable Quantity, Rate, and Amount fields, and a delete icon to remove the item. Click “Add Item” or “Add another item” to add more line items manually. A counter at the bottom shows the total items added, then click “Save” to generate the invoice, or “Cancel” to discard it.
  • Use the search bar to look up specific invoices. Use the Clients dropdown (defaults to “All Clients”) to refine the list. The Filters button displays the number of filters currently applied as a badge, and Clear Filters resets all selections.
  • Six tabs, All, Draft, Sent, Paid, Overdue, and Cancelled, sit above the table, each with a count badge, giving a quick snapshot of how many invoices fall into each status.
  • The table lists each invoice with a row number, the Client’s avatar, name, and email, along with its Invoice Number, Total, Invoice Date, Due Date, and a status badge, and the following actions (shown conditionally based on status):
    • View to open the full invoice detail page
    • Edit to modify the invoice’s details (Draft only)
    • Send the invoice to the client (Draft only)
    • Copy Payment Link to copy a payable link for the invoice (Draft/Sent only)
    • Delete to permanently remove the invoice
  • Clicking View opens the invoice detail page, showing:
    • A Billing & Addresses card with the Billed From company details and the Billed To client details
    • An Invoice Items table listing each line item’s Description (tagged Time Sheet or Expense with its date), Qty, Rate, and Amount, followed by the Subtotal, Tax, Total Amount, Paid Amount, and Balance Due
    • A Notes card with any additional notes
    • A Summary & Actions card showing the Balance Due, status badge, amount paid with percentage, and “Download PDF,” “Edit Invoice,” and “Send Invoice” buttons.
    • An Invoice Details card with the Invoice Date, Due Date, and associated Case

8.1.4 Payments

  • Use the search bar to look up specific categories. Use the status dropdown to refine the list, then click Search to apply the filter or Reset to clear it.
  • The expense categories table lists every category with its icon, name, and description, along with a status badge, and the following actions:
    • Edit – to modify the category’s name, description, or status
    • Deactivate – to turn off the category without deleting it
    • Delete – to permanently remove the category

9. Documents & Media

9.1 Documents

The Documents page allows you to browse and manage all uploaded documents.

9.1.1 Documents List

Documents are displayed as folder cards in a grid layout.

  • Use the Search bar to find a specific document.
  • Use the All Categories and All Levels dropdowns to filter documents; active filters appear as removable tags (e.g., Category: Contracts) and can be cleared with Clear Filters.
  • Use the status tabs, All, Draft, Review, Final, Archived, to quickly view documents by their current status, with a count shown beside each tab.

Each document card displays a folder icon and the document name (e.g., Retainer Agreement, Deposition Transcript, Settlement Agreement). Selecting a document opens its detail view.

Document Detail View

Clicking into a document opens its version history page, showing:

  • Header: The document title, the uploader’s name, and the total number of versions
  • Version Cards: Each version of the document is shown as a card with a version number (e.g., v1.0, v1.2), the date it was created, and action icons to Download, Restore, or Delete that version. The current version is marked with a checkmark badge
  • Add Version: Click Add Version in the top right to upload a new file with an optional Changes Description, then Save or Cancel
Document Details Panel

On the right side of the version history page, the Document Details panel shows:

  • Category: A tag showing the document’s category (e.g., Research)
  • Status: A color-coded tag showing the current status (e.g., Review)
  • Confidentiality: The confidentiality level (e.g., Internal)
  • Tags: Keyword tags associated with the document
  • Current Version: The active version number
  • Created: The date the document was created
  • Description: A short description of the document’s contents

This panel includes the following action icons at the top:

  • View: Opens a preview of the document
  • Edit: Opens the document details for editing
  • Comments: Opens the comments view for the document
  • Download: Downloads the current version
  • Change Status: Opens the Change Document Status dialog, where you can update the status to Draft, Review, Final, or Archived

Clicking the Comments icon opens a dedicated comments page for the document, showing:

  • A list of comments, each with the commenter’s profile picture, name, a status tag (Open or Resolved), the date, and the comment text
  • Action icons on each comment to Toggle Status (Open/Resolved), Edit, or Delete
  • A Write a comment… input field at the bottom to add a new comment, with a send button
Uploading a New Document

Click the Upload Document button in the top right to open the Upload Document panel.

  • Name: Enter the name of the document (e.g., Non-Disclosure Agreement)
  • Description: Enter a brief description of the document (e.g., Standard NDA template for client engagements)
  • Category: Select the category the document belongs to
  • File: Select a file to upload using the Browse button

The Firm Info panel on the left displays:

  • Firm Name: The name of the firm (e.g., Company)
  • Business Type: The type of business (e.g., law firm)
  • Years of Experience: The number of years the firm has been operating
  • Practice Size: The size of the practice (e.g., large)
  • Bar Registration No.: The advocate’s bar registration number
  • Registration No.: The firm’s registration number
  • Established: The date the firm was established

The main content area is organized into three sections:

  • Personal & Contact Details: Advocate Name, Phone, Consultation Fees, Address, Email, Website, and Office Hours
  • Professional Details: Law Degree, Languages Spoken, Specialization, University, and Success Rate (%), and Court jurisdictions.
  • Business & Firm Details: Services Offered, Notable Cases, and a Description of the firm
Editing the Company Profile

The Edit Company Profile flow is a 4-step wizard, shown as a progress bar at the top: 1. Personal Information, 2. Professional Details, 3. Business Details, 4. Firm Details. Use Next and Previous to move between steps.

Step 1 – Personal Information

  • Advocate Name: Enter the advocate’s name
  • Bar Registration Number: Enter the bar registration number
  • Email: Enter the email address
  • Phone: Enter the phone number
  • Years of Experience: Enter the number of years of experience

10.2 Team Management

10.2.1 Members

User Management

The Users Management page provides a full overview of all system users registered in the application. The top right of the page includes a Login History icon to view recent login activity and an Add User button to create a new user account.

Use the search bar to look up specific records, and refine the list by selecting a Role from the dropdown. Use “Clear Filters” to remove the selection. The Filters badge simply displays the number of filters currently applied. The top right also includes a view toggle to switch between list view and grid view.

Users list

The Users list displays each entry with the following columns:

  • Name: The user’s full name, profile photo, and email address
  • Roles: The role(s) assigned to the user (e.g., Manager, HR, Employee)
  • Joined: The date the user was added to the system

The Actions column on the right provides five options for each user:

  • Reset Password: Opens a modal to set a new password for the user
  • Toggle Status: Activates or deactivates the user account
  • View: Opens the full user details page
  • Edit: Opens the user account for editing
  • Delete: Removes the user from the system

When you click Reset Password, a modal opens with the following fields:

  • New Password: Enter the new password for the user
  • Confirm Password: Re-enter the new password to confirm
Login History

Clicking the Login History icon at the top of the page opens the Login History page, which displays a record of all user login activity. The top right of the page includes a Back button to return to the Users Management page.

The page includes a search bar with a Search button to filter records.

The Login History list displays each entry with the following columns:

  • User: The user’s name and email address
  • User Type: The user role (e.g., Employee, HR)
  • IP Address: The IP address from which the user logged in
  • Login Date: The date and time of the login
  • Details: The browser and operating system used

The Actions column on the right provides two options for each login record:

  • View: Opens the full login details
  • Delete: Removes the login record from the list
Add New User

Clicking the Add User button opens a modal form where the admin can create a new user account. The form captures the following information:

  • Name: Enter the user’s full name
  • Email: Enter the user’s email address
  • Password: Enter the password for the account
  • Confirm Password: Re-enter the password to confirm
  • Role: Select the role to assign to the user from the dropdown

10.2.2 Roles Management

The Roles page provides a full overview of all user roles configured in the system along with their assigned permissions. The top right of the page includes an Add Role button to create a new role.

The page includes a search bar with a Search button to filter records by role name.

Roles list

The Roles list displays each entry with the following columns:

  • Name: The role name (e.g., Employee, Manager, HR)
  • Permissions: A preview of the assigned permissions with a “+X more” indicator showing the total count
  • Created At: The date the company role was registered on the platform

The Actions column on the right provides three options for each role:

  • View: Opens the full role details page
  • Edit: Opens the role for editing
  • Delete: Removes the role from the list

When you click View on any role, it opens its dedicated role details page. The page is organized into the following sections:

  • Role Information: Displays the Role Name, Slug, Total Permissions count, and Description.
  • Assigned Permissions: Lists all permissions assigned to this role, grouped by module (e.g., Dashboard, Media, Branches, Departments, Employees, Meetings, Assets). Each module displays its specific permission tags such as Manage, Create, View, Edit, Delete, and Approve actions.
Add New Role

Clicking the Add Role button opens a modal form where the admin can create a new role. The form is organized into two sections:

  • Role Information: Enter the Role Name (e.g., HR Manager, Accountant) and a brief Description of the role.
  • Role Permissions: Select the permissions to assign to the role using the checkboxes. Permissions are grouped by module (e.g., Dashboard, Users, Roles, Media, Branches, Departments, Employees, Meetings, Assets, Training, Leaves, Payroll), with each module offering specific actions like Manage All, Create, View, Edit, and Delete. The admin can select individual permissions or entire modules as needed.

10.3 Plans

10.3.1 Plans

The Plans page displays all available subscription plans the organization can choose from. The page is titled Choose Your Plan and presents the plans as side-by-side comparison cards.

At the top of the page, a billing cycle toggle allows the admin to switch between Monthly and Yearly pricing, with a “Save 20%” indicator highlighting the discount on yearly billing.

Each plan card displays the following information:

  • Plan Name: The name of the plan (e.g., Free, Starter, Pro)
  • Price: The plan cost along with the billing cycle (e.g., $19.99/monthly)
  • Description: A short summary of who the plan is best suited for
  • Trial Information: Displays the free trial period if available (e.g., 7 days free trial, 14 days free trial)
  • What’s Included: Lists the plan limits including the number of Users, Employees, and Storage capacity
  • Features: Lists the features included or excluded in the plan (e.g., AI Integration), marked with a check or cross icon

Plans may also display special badges:

  • Recommended: Highlights a suggested plan for the organization
  • Current: Indicates the plan the organization is currently subscribed to

At the bottom of each plan card, action buttons are available depending on the plan and the organization’s current subscription:

  • Subscribe Now: Opens the subscription modal to subscribe to the plan immediately
  • Request Plan: Submits a request for the plan that goes to administrators for approval
  • Start 7 Day Trial: Begins a free trial of the plan
  • Current Plan: A disabled indicator is shown on the plan the organization is already subscribed to, along with the Expires on date.
Subscribe to a Plan

Clicking the Subscribe Now button opens a modal where the company can complete the subscription. The modal displays the selected plan and billing cycle at the top, followed by the following fields:

  • Select Payment Method: Choose from available payment options including Bank Transfer, Stripe, and PayPal
  • Coupon Code (Optional): Enter a coupon code and click Apply to receive a discount
  • Subtotal: Displays the plan cost before discounts
  • Total: Displays the final amount to be paid after any discounts

Once the payment method is selected and any coupon applied, clicking the Pay $49.99 button confirms the subscription. The Cancel button closes the modal without processing any payment.

A company profile card is pinned to the bottom of the left sidebar at all times, visible on every page of the Company Admin panel. This card displays the company’s profile photo along with its current plan name (e.g., Pro), and includes an Upgrade button to switch to a higher plan.

Clicking the profile photo or company name on this card opens a popover menu directly above it, showing the company name and email at the top, followed by quick links to Referral Program, Plans, Settings, and Log out, giving the admin fast access to account-related pages without navigating through the main sidebar menu.

10.3.2 Plan Requests

The Plan Requests page provides a full overview of all plan requests submitted by companies awaiting administrator approval.

Use the search bar to look up specific records. Below the search bar, status tabs (All, Pending, Approved, Rejected) show the record count for each status.

The Plan Requests list displays each entry with the following columns:

  • Company: The company name, profile photo, and email address that submitted the request
  • Plan: The plan being requested (e.g., Free, Pro)
  • Duration: The billing cycle of the requested plan (e.g., Monthly, Yearly)
  • Status: The current state of the request (Pending, Approved, Rejected)
  • Request Date: The date the request was submitted

10.3.3 Plan Orders

The Plan Orders page provides a full overview of all completed plan orders along with their payment details.

Use the search bar to look up specific records, and refine the list by selecting a Date From or Date To. Use “Clear Filters” to remove all selections. The Filters badge simply displays the number of filters currently applied. Below, status tabs (All, Pending, Approved, Rejected, Completed) show the record count for each status.

The Plan Orders list displays each entry with the following columns:

  • Order Number: The unique order reference number
  • Name: The company name and email address that placed the order
  • Plan: The plan purchased (e.g., Pro, Starter)
  • Original Price: The original price of the plan before any discounts
  • Discount: The discount amount applied, if any
  • Final Price: The final amount paid after discounts
  • Status: The current state of the order (Approved, Pending, Rejected)
  • Receipt: you can see it (-) here
  • Order Date: The date the order was placed

10.4 Referral Program

The Referral Program section allows the admin to manage and track the company’s participation in the platform’s referral system. It contains three sub-sections accessible from the left sidebar: Dashboard, Referred Users, and Payout Requests.

Dashboard

The Referral Program Dashboard provides a complete overview of the company’s referral activity. Four summary cards at the top display:

  • Total Referrals: The total number of users who joined through the referral link
  • Referred Users: The number of active users acquired through referrals
  • Total Earned: The total commission amount earned from all referrals
  • Available Balance: The commission amount currently ready to withdraw

The Your Referral Link section displays the company’s unique referral URL that can be shared to earn commissions when new users sign up and purchase plans. A copy icon next to the link allows the admin to copy it instantly for sharing.

The Recent Referred Users section lists the latest users acquired through the referral link, showing each entry’s avatar, company name, email address, and current plan badge (e.g., Starter, No Plan).

Referred Users

The Referred Users page provides a detailed view of all users who registered on the platform using the company’s referral link. Three summary cards at the top display:

  • Total Referred Users: The total number of users who signed up through the referral link
  • Users with Plans: The number of referred users who have purchased an active subscription plan
  • Total Commission Earned: The total commission amount earned from all referred users

The Referred Users List section displays each referred user as an individual card containing:

  • User Avatar & Name: The initial-based avatar along with the user’s name and email address
  • Registration Date: The date the user registered through the referral link
  • Plan Badge: Shows the user’s current subscription plan (Starter, Pro, or No Plan)
  • Plan Price: The monthly subscription cost of the user’s active plan
  • Total Commission: The cumulative commission earned from that specific user

For users with an active paid plan, a Commission History section is expanded within the card, showing each commission entry with its applicable percentage (e.g., 12.50% commission) and the corresponding amount earned (e.g., +$99.99). Users on the No Plan status will not display a commission history, as no commission is generated until they upgrade to a paid plan.

Payout Requests

The Payout Requests section allows the admin to request a withdrawal of earned commissions and track the status of previous payout requests.

The Create Payout Request section at the top includes a Request Payout button to submit a new payout request. A note below indicates the minimum balance required to request a payout (e.g., “You need at least $50.00 to request a payout”). The button remains disabled until the available balance meets the minimum threshold.

The Your Payout Requests table displays all previously submitted payout requests with the following columns:

  • Amount: The payout amount requested
  • Status: The current state of the request (Pending, Approved, or Rejected)
  • Date: The date the request was submitted

10.5 Notification Templates

  • The Notification Templates section allows the Super Admin to manage and customize the automated notification messages sent through third-party messaging platforms.

The page is divided into two tabs: Slack and Twilio. Each tab works in the same way but sends notifications through a different channel.

  • Slack: Manages notification templates sent to your team via the Slack messaging platform.
  • Twilio: Manages notification templates sent via SMS through the Twilio platform.

Both tabs share the same layout and functionality:

Enter keywords in the search field to find a specific template. Notification Templates Table Information:

The table displays the following columns:

  • Name: The name of the notification event (e.g., Team Member Created, New CLE Record, New Regulatory Body, New License, New Judge, New Court, Invoice Sent, New Invoice, New Hearing, New Task, New Client, New Case)
  • Actions: Quick action button for template management

Each template row includes one action icon:

Clicking View on a notification template opens its editor.

  • Template Name: Read-only (e.g., New Judge)
  • Language Tabs: Switch between languages (EN, ES, AR, DA, etc.) to edit content per language
  • Notification Title: Editable title, supports variables (e.g., New Judge: {judge_name})
  • Notification Content: Editable message body, supports variables (e.g., Judge {judge_name} ({specialization}) has been assigned to court {court}.)
  • Save Content: Saves changes
  • Available Variables: Click a variable (e.g., {judge_name}, {court}, {specialization}) to copy and insert it into the title/content

Note: Notification templates cannot be created or deleted. You can only view/edit the existing templates. Make sure the relevant third-party integration (Slack or Twilio) is configured in Settings before notifications can be sent.

10.6 Settings

Each settings panel includes a Save Changes button in the top right corner to apply the configured values.

10.6.1 System Settings

The System Settings panel allows the admin to configure global application preferences. The following fields are available:

  • Default Language: Select the default language for the application from the dropdown
  • Date Format: Select the format used to display dates
  • Time Format: Select the format used to display time
  • Default Timezone: Select the default timezone for the application

10.6.2 Brand Settings

Note: Brand Settings works the same way for both the Super Admin and each Company. The Super Admin’s own Brand Settings (Logos, Text, Theme) only apply to and show on the Super Admin side. Each company customizes its own Brand Settings separately under their panel, and those changes will only reflect on that company’s side.

10.6.3 Currency Settings

Note: The currency selected in the Super Admin’s own settings only applies and shows on the Super Admin side. Each company sets up its own currency separately under their System Setup, and that currency will show only on that company’s side. However, the currency set under the Super Admin’s Plan section will also show on the Company side’s Plan page.

10.6.4 Email Settings

Note: Both Super Admin and Company sides have their own separate Email Settings. Each side needs to set it up individually, but the setup process and options are exactly the same on both.

10.6.5 Email Notification Settings

The Email Notification Settings page allows you to edit which events trigger an email notification.

Toggle on or off the following notifications:

  • New Invoice: Notify when a new invoice is created.
  • Invoice Sent: Notify when an invoice is sent.
  • New Team Member: Notify when a new team member is added.
  • New Client: Notify when a new client is created.
  • New Case: Notify when a new case is created.
  • New Hearing: Notify when a new hearing is scheduled.
  • New Judge: Notify when a new judge is added.
  • New Court: Notify when a new court is added.
  • New Task: Notify when a new task is created.
  • New License: Notify when a new license is added.
  • New CLE Record: Notify when a new CLE record is added.
  • New Regulatory Body: Notify when a new regulatory body is added.
  • New User: Notify when a new user is created.

Click Save Changes in the top right to save your settings.

10.6.6 Slack Settings

  • The Slack Settings page allows you to configure Slack settings for notifications and communications.
    • Enable Slack Integration: Toggle on to receive notifications in Slack
    • Webhook URL: Enter your Slack webhook URL

Toggle on or off the following notifications under Slack Notification Settings:

  • New Case: Notify when a new case is created.
  • New Client: Notify when a new client is created.
  • New Task: Notify when a new task is created.
  • New Hearing: Notify when a new hearing is scheduled.
  • New Invoice: Notify when a new invoice is created.
  • Invoice Sent: Notify when an invoice is sent.
  • New Court: Notify when a new court is added.
  • New Judge: Notify when a new judge is added.
  • New License: Notify when a new license is added.
  • New Regulatory Body: Notify when a new regulatory body is added.
  • New CLE Record: Notify when a new CLE record is added.
  • Team Member Created: Notify when a new team member is created.

Click Save Changes in the top right to save your settings.

The panel on the right lets you verify your Slack setup by sending a test message.

  • Click Send Test Message to send a test notification and verify your Slack webhook.

A reference panel outlines the steps to configure Slack:

  • Go to your Slack workspace
  • Create a new Slack app
  • Enable Incoming Webhooks
  • Add webhook to workspace
  • Copy the webhook URL here

10.6.7 Twilio Settings

  • The Twilio Settings page allows you to configure Twilio settings for SMS notifications and communications. Enter your Twilio account credentials to connect the integration.
    • Account SID: Enter your Twilio Account SID
    • Auth Token: Enter your Twilio Auth Token
    • From Phone Number: Enter the phone number Twilio will send SMS messages from (with country code, e.g., +1234567890)

Toggle on or off the following SMS notifications under Twilio Notification Settings:

  • New Case: Notify when a new case is created.
  • New Client: Notify when a new client is created.
  • New Hearing: Notify when a new hearing is scheduled.
  • New Invoice: Notify when a new invoice is created.
  • Invoice Sent: Notify when an invoice is sent.
  • New Court: Notify when a new court is added.
  • New Judge: Notify when a new judge is added.
  • New Regulatory Body: Notify when a new regulatory body is added.

Click Save Changes in the top right to save your settings.

The panel on the right lets you verify your Twilio setup by sending a test SMS.

  • Send Test To: Enter a phone number with country code (e.g., +1234567890) to receive the test message
  • Click Send Test SMS to send a test message using your configured Twilio settings.

A reference panel outlines the steps to configure Twilio:

  • Sign up for a Twilio account at twilio.com
  • Get your Account SID and Auth Token from the Twilio Console
  • Purchase a phone number or use a trial number
  • Enter your credentials and admin phone number

10.6.8 Payment Settings

Note: Payment settings work the same way for both the Super Admin and each Company. The Super Admin’s own Payment Settings configure the payment gateway used to collect subscription payments from companies. Each company sets up its own Payment Settings separately under their panel, and that configuration only applies to and shows on that company’s side.

10.6.9 Google Calendar Settings

The Google Calendar Settings page allows you to configure Google Calendar integration for appointment synchronization.

  • Enable Google Calendar: Toggle on to enable Google Calendar integration for appointments
  • Google Calendar ID: Enter your Google Calendar ID, or enter “primary” to use your main calendar
  • Service Account JSON File: Click Browse to upload your Google service account JSON credentials

Click Test Sync to verify the integration is working correctly, or Save Changes to apply all updates.
